Privacy Notice
Pre-launch draft: Sylvadi Design Inc. operates Expense Pools from Canada. This document still requires legal review of retention periods, mailing details, and final service providers before public launch.
1. What Expense Pools processes
We process account information you provide, such as your name, username, email address, profile image, language preferences, and authentication credentials. Passwords are stored as one-way hashes rather than readable passwords.
When you use a pool, we process pool names, descriptions, membership roles, participant names, currencies, expenses, split instructions, balances, dates, and related activity. Other people in a pool can see information needed to understand that pool’s expenses.
2. Why we process it
- Provide authentication, account recovery, and verified invitations.
- Calculate and display shared expenses and balances.
- Protect accounts, prevent abuse, and investigate security events.
- Operate, troubleshoot, and improve the service.
- Meet legal obligations and enforce the Terms of Service.
3. Pool invitations and guest participants
Email invitations do not grant pool access until the recipient accepts. A pool owner or administrator may also create a guest participant. A guest has no account or login and exists only inside that pool for calculation and record-keeping.
4. Sharing and service providers
Information is shared with other members of a pool as required to provide the service. Infrastructure providers process information on our behalf to host the application, database, security controls, and transactional email. We do not sell personal information.
5. Retention and deletion
Account and pool records are retained while needed to provide the service and preserve shared financial history. The final public policy must define deletion, account closure, ownership transfer, backup retention, and legally required retention periods.
6. Security
We use access controls, expiring sessions, hashed credentials and security tokens, rate limits, and encrypted transport. No service can guarantee absolute security. Please report suspected vulnerabilities to [email protected].
7. Your choices
Depending on your location, you may have rights to access, correct, export, or delete personal information and to object to or restrict certain processing. Requests may be sent to [email protected].
8. Children and age
Expense Pools does not impose a product-specific minimum age. Users must still be legally permitted to use the service and provide any consent required by the laws that apply to them. A parent or guardian should assist where applicable law requires it.
9. Changes
Material changes will be identified by a new document version. Where required, users will be asked to accept updated terms or receive advance notice.
